Excel is a good fit when
You only send a few invoices, already maintain spreadsheets carefully, and prefer full manual control over layout, formulas, and records.
Excel is a familiar way to build invoice templates. WOPA is for tradespeople who would rather send a WhatsApp message, generate a PDF invoice, and keep payment chasing out of their head.
| Need | Excel invoice template | WOPA |
|---|---|---|
| Setup | Choose or build a template, add formulas, save a numbering process. | Send business details once, then create invoices from WhatsApp. |
| Invoice creation | Manual typing and copying between files. | Plain-English job message converted into an invoice. |
| Invoice numbers | Manual unless you build controls. | Handled by the invoicing workflow. |
| Payment chasing | Usually manual calendar reminders. | Available payment reminder workflow. |
| VAT, CIS, reverse charge | Possible if the template is correct and maintained. | Supported on invoice presentation. |
| MTD compliance | May need compatible or bridging software and digital links. | Not currently MTD-compatible; see roadmap. |
| Best for | People who like spreadsheets and have a disciplined admin routine. | Tradespeople who invoice from their phone and want less manual follow-up. |
You only send a few invoices, already maintain spreadsheets carefully, and prefer full manual control over layout, formulas, and records.
Your invoices start as WhatsApp messages, job notes, or quick phone admin, and the expensive part is remembering to send and chase them.
You need MTD filing, bank feeds, expense bookkeeping, VAT returns, payroll, or accountant collaboration inside a recognised accounting product.
You want WOPA for day-to-day invoicing and a spreadsheet or accountant workflow for records. Make sure records are complete and not duplicated.
