How-to

How to create an invoice in WhatsApp.

There are two ways to send an invoice over WhatsApp: do it manually with a PDF you make elsewhere, or let WOPA generate the invoice from your chat message. Here is both.

The manual way

Make a PDF, then attach it.

The simplest route uses WhatsApp as the delivery channel only. You create the invoice in a tool, a template or a free generator, export it as a PDF, then attach that PDF in the chat with your customer. This works, but it means switching between apps every time you bill a job — and it is easy to forget to follow up.

If you go this route, make sure the invoice includes the details a UK invoice needs: your business name and address, an invoice number and date, a description of the work, the amount due, and how to pay.

The faster way

Let WOPA generate it from the chat.

StepWhat you do
1Message WOPA the customer, the job and the amount — type it or send a voice note.
2WOPA generates a formatted UK PDF invoice with your details and line items.
3Send the invoice to the customer from the same chat.
4WOPA reminds you to chase if it is not paid.
Whichever route you use, the invoice itself is a standard UK invoice. WhatsApp is a valid way to send it — see whether WhatsApp invoicing is legal in the UK.
